Your visit. Seven stages.
What we decide together, what you provide and what each stage delivers.
Understanding your objective
Start with your objective, group size and preferred dates. Cities and format can be worked out together.
Objective, participants, dates and an indicative budget.
A shared understanding of the objective and the information needed to prepare a programme.
Yes. Tell us the outcome you want and what you already know about the group. Undecided cities, dates or budget are clarified while the proposal is prepared.
Agreeing the programme and cost
Route, meetings and visits are brought into one clear plan; services and costs are agreed before confirmation.
Priorities, constraints and your feedback on the proposal.
A programme, scope of services and cost estimate for your approval.
Included services, separate expenses, confirmed visits and meetings still awaiting host approval. Payment, change and cancellation terms are set out in the contract.
Confirming the details
Accommodation, transport and scheduling are worked through; the information needed for each host is gathered.
Group details and participants’ practical requirements.
Confirmed arrangements and practical information before arrival.
A contact person, the required participant details, and any timing, dietary and accessibility needs — agreed once the programme is confirmed.
Welcoming the group
Meeting point, transfers and accommodation are agreed; participants receive the programme and an on-site contact.
Up-to-date arrival details and any flight changes.
Clear arrival arrangements and a smooth start to the trip.
Tell us during planning. Transfers and check-in are arranged for each part of the group; separate transfers are reflected in the agreed services.
Delivering the visits
Meetings, factory visits, transport and on-site support are coordinated within the agreed scope.
Participation in the programme and timely communication when questions arise.
On-site coordination, meeting notes and recorded next steps.
Factory access depends on the hosts. If arrangements change, we discuss alternatives or a revised schedule with you — which is why priority visits and alternatives are agreed in advance.
Making time between meetings
Evening and cultural activities are chosen to suit the group, the objective and the pace of the trip.
Preferences for activities, food and free time.
An agreed balance of scheduled activities and downtime.
Yes. It is best built into the schedule early; group activities, free time and any support during those hours are agreed separately.
A smooth departure — and the follow-up
Departure times and check-out are taken into account; transfers are agreed for the group or individuals.
Confirmed departure details and any specific requests.
Agreed departure arrangements and a summary of next steps with each host.
Tell us when agreeing the programme. Additional accommodation, transfers and support are clarified separately and reflected in the estimate.

Questions about industrial visits.
When will we receive a programme and estimate?
Within 3 calendar days of receiving your enquiry, we contact you, discuss your needs and prepare an initial programme with a preliminary estimate. Final pricing and bookings are agreed once venues, factories and the scope of services are confirmed.
Do we need a budget and exact dates already?
No. For a first conversation, your objective, approximate participant count and preferred period are enough. If a budget has not been set, say so in the brief and we will discuss programme parameters and costs together.
Can you guarantee access to a specific factory?
Factory access and the availability of specific people depend on the hosts. We confirm each visit individually, agree priority visits and acceptable alternatives in advance, and propose a revised schedule if a host reschedules.
What determines the price of a trip?
Dates, destinations, participant numbers, hotel standards, venues, interpreting and selected activities. The proposal shows included services, optional extras and costs retained by the client.
What about flights, visas and insurance?
These are discussed separately and recorded in the scope of work. Before booking, we agree on included services, required documents and the responsibilities retained by the client.
Can we combine several cities, or add an exhibition?
Yes. The itinerary is built around the main visits, travel time and the group’s pace — for example factory visits in Suzhou and Hangzhou followed by an industry exhibition in Shanghai.
